Privacy Policy

This Privacy Policy explains how Denver Auto Spa, LLC ("Denver Auto Spa," "we," "us," or "our") collects, uses, stores, and shares information about our customers and website visitors in connection with our vehicle detailing, protection, and coating services (vinyl wrap, paint protection film, ceramic coating, window tint, paint correction) and the tools we use to run our business — our website, online quote and booking forms, text/email/voice communications, and customer-facing estimate and invoice pages.
We are a small, local business based in Arvada, Colorado. This policy is written to describe, plainly and accurately, what we actually do with your information — not a generic template.
1. Information We Collect
Information you give us directly
- Contact details — name, phone number, email address, and mailing address (if provided).
- Vehicle information — year, make, model, and any service-relevant notes about your vehicle.
- Service details — the services you're interested in or have booked, appointment dates/times, and any notes you or our staff add about your job.
- Photos & video — photos and video of your vehicle taken by our staff before/during/after service, or reference photos you send us. Photos attached to an estimate are stored securely in our system. General "photo library" images our staff take for internal reference are kept only on the device/browser that took them and are not backed up to our central system. Unless you tell us in writing before signing your estimate's Terms & Conditions that you don't want this, this photo/video may also be used on our social media and in our advertising.
- Documents and signatures — if you accept an estimate or agree to terms & conditions online, we store the document you agreed to and your electronic signature.
- Payment records — the amount, method (cash, card, Zelle, financing, etc.), and date of payments you make to us. We do not collect or store your credit/debit card number. Card payments are made directly through QuickBooks' own secure, hosted payment page — we only ever see confirmation that a payment was made, never the card details themselves.
- Communications — the content of text messages, emails, and calls between you and our staff, including call recordings and automated transcriptions of staff phone calls.
Information collected automatically
- Standard technical information when you visit our website or use our online forms (browser type, device type, and similar information provided automatically by your browser).
- Our website loads fonts from Google Fonts, which may receive your device's IP address as part of delivering those font files. We do not use this for advertising or tracking, and we do not run any advertising pixels, analytics trackers, or third-party ad cookies on our site or customer-facing pages.
2. How We Use Your Information
- To schedule, manage, and provide the services you request.
- To send you estimates, invoices, appointment confirmations, reminders, and receipts.
- To communicate with you by text, email, or phone about your appointment, vehicle, or account.
- To collect payment for services rendered.
- With your consent, to send you marketing messages, promotions, or review requests.
- To administer our rewards and referral program, if you participate.
- To assist our staff in preparing accurate estimates — this may include sending a description of the requested service (and, where provided, reference photos) to Anthropic's Claude AI service to help generate a draft estimate, which our staff always reviews before sending it to you.
- For our own recordkeeping, accounting, and tax obligations.
- To improve our services and troubleshoot problems.
3. Text Messages, Email & Phone Calls
If you provide your phone number and check the consent box on our forms, you agree to receive email and/or text messages from Denver Auto Spa, LLC, including appointment confirmations and reminders, estimate/invoice links, and — if you don't opt out — occasional marketing or promotional messages. Message frequency varies. Message and data rates may apply.
- Reply STOP to any text message at any time to opt out of further texts. We process opt-outs automatically and will not text you again unless you opt back in.
- Reply HELP for assistance.
- We do not sell or rent your phone number to third parties, and we do not share it for purposes other than providing you our services (see Section 4 below for the vendors who help us deliver those services).
Phone calls to and from our business may be recorded and automatically transcribed for staff training, quality, and business recordkeeping purposes.
4. How We Share Your Information
We do not sell your personal information. We share information only with the service providers who help us run Denver Auto Spa, each of which is only given the information it needs to perform its specific function for us:

| Intuit QuickBooks Online | Processes invoices and payments you make to us. When you pay a QuickBooks-hosted invoice, your payment information is handled entirely by QuickBooks' own secure payment page — we never see or store your card number. |
| Anthropic (Claude) | Helps our staff draft estimate line items and pricing suggestions from a service description you or we provide. Anthropic does not use this information to contact you. |
We may also disclose information if required by law, subpoena, or legal process, or to protect the rights, property, or safety of Denver Auto Spa, our customers, or others.
5. Data Security
We take reasonable, real technical steps to protect your information, including:
- Requiring staff to log in with their own credentials to access customer records.
- Restricting database access so that only authenticated staff sessions — never the public internet — can read customer data.
- Encrypting sensitive payment-integration credentials at rest.
- Using secure, industry-standard hosting providers (Supabase, Netlify) for all customer data.
No system is 100% secure, but we do not treat this as boilerplate — our systems are actively reviewed and hardened on an ongoing basis.
6. Data Retention
We retain your information for as long as needed to provide our services, maintain accurate business and tax records, and comply with legal obligations. If you'd like us to delete information we hold about you, contact us using the information below and we will honor reasonable requests, except where we're required or permitted to retain records (for example, financial records related to completed transactions).
Note: general reference photos our staff take (outside of estimate-attached photos) are stored locally on staff devices/browsers only and are not part of our central database — we may not be able to locate or delete these on request if the device that took them is no longer available.
7. Your Choices & Rights
- You can opt out of text messages at any time by replying STOP, and out of marketing emails via the unsubscribe link in any email.
- You can ask us what information we have about you, ask us to correct it, or ask us to delete it, by contacting us directly (see below).
- You can decline to provide certain information, though this may limit our ability to serve you (for example, we need a valid phone number or email to send you appointment confirmations).
8. Children's Privacy
Our services and website are directed at adults capable of entering into a service agreement for vehicle work. We do not knowingly collect information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time as our services change. We'll update the effective date at the top of this page when we do. Continued use of our services after a change means you accept the updated policy.
